Quantum Horizon Physics Club (QHPC)

Motto: "Exploring the Nature and Universe through Curiosity and Knowledge"

Year Established: 17th April 2026


Objectives:

  1. To promote interest and excellence in physics among students.
  2. To organise academic and extracurricular activities related to physics.
  3. To provide a platform for students to explore physics beyond the syllabus.
  4. To collaborate with other institutions and clubs for science outreach.
  5. To bridge the gap between theoretical learning and practical application.
  6. To encourage scientific discussions, debates and innovation.
  7. To develop leadership, teamwork, and organizational skills among students.


Membership:

The membership to the Physics Club, Shillong College will be as follows:

  1. Membership will be mandatory for all students of the Physics Department.
  2. All Bonafide students of Shillong College with an interest in physics are eligible for general membership with approval from the Physics Department.
  3. Alumni of the Physics Department of Shillong College can also enrol and become members of the club.
  4. Faculty members of the Department will act as mentors and advisors.


Organizational Structure:

The Physics club will be primarily student-driven with guidance from faculty members. The organizational structure of the Physics Club will constitute the following:


Office Bearers

  1. President – 1 (One) (3rd or 4th Semester Student)
  2. Vice President - 1(One) Student
  3. Secretary – 1 (One) (3rd or 4th Semester Student)
  4. Treasurer - 1 (One) Student
  5. Event Coordinator – 1 (One) Student
  6. Publicity & Outreach Coordinator - 1 (One) Student
  7. Faculty Advisers (all teaching faculty of the department)


Duties and Responsibilities:

Each office bearer will have his/her own duties and responsibilities as elaborated below:

  1. President
  2. Overall supervision and guidance.
  3. Approval of major decisions and events.
  4. Faculty Advisors
  5. Provide mentorship and academic guidance.
  6. Assist in planning and execution of activities.
  7. Vice-President
  8. Assist President and oversee club operations.
  9. Act as President in absence of President.
  10. Secretary
  11. Coordinate meetings and activities.
  12. Maintain records and documentation.
  13. Present a report after every programme and/or activities, and at the end of each semester to be approved by the HOD and the Principal.
  14. Treasurer
  15. Manage funds and maintain financial records.
  16. Prepare budget reports.
  17. Event Coordinator
  18. Plan and execute events and programmes.
  19. Publicity & Outreach Coordinator
  20. Manage technical aspects (presentations, equipment, etc.).
  21. Promote events through social media and notices.
  22. Handle publicity and outreach.


Tenure:

All student office bearers shall hold office for one academic year (July to June).


Elections/Nominations:

  1. Elections or Nominations to the various posts will be held at the beginning of each academic year.
  2. In case of nomination, the student member nominated must be by a majority of the club members.
  3. In case of election, each elected member requires a simple majority vote by club members.
  4. The faculty advisers will act as overseers to ensure smooth conduct of the election process.


Meetings:

The meetings of the Physics club will be held as listed below:

  1. Regular meetings to be held at least once a month.
  2. Emergency meetings may be called if required.
  3. Special meetings can be called by the President with consent from the Head of Department (HOD) of Physics.


Programmes and Activities:

The club may organise or conduct, with prior permission from the department and principal the following programmes and/or activities:

  1. Guest lectures and seminars.
  2. Workshops and training sessions.
  3. Science fairs and exhibitions.
  4. Quiz, debate, and poster competitions.
  5. Research discussions and paper presentations.
  6. Observance of scientific days and events.
  7. Weekly/monthly physics discussion forums.
  8. Model-making and demonstration sessions.
  9. Visits to research labs and planetariums.
  10. Annual Physics Fest.
  11. Astronomy observation nights.
  12. Participation in inter-college science events.


Finance:

To meet the financial requirements of the club to organise programmes and/or activities, funds may be generated through:

  1. Membership fees (minimal fee at the time of registration).
  2. College support: The club may seek annual minor funding from the college for approved activities.
  3. Sponsorships and donations: Funds may also be raised through events, donations, or sponsorships.

All expenses require receipts and approval from the President, the Treasurer and the HOD, Physics or at least one faculty adviser. Accounts must be presented to the department at the end of each semester.


Code of Conduct:

The Physics club shall maintain the following code of conduct for all its members:

  1. Members must maintain discipline and decorum.
  2. Active participation is encouraged.
  3. Respect for all members and ideas is mandatory.


Amendment of Constitution:

Any amendment to this constitution shall require:

  1. A proposal by any active member of the club.
  2. Approval by two-thirds of the general body.
  3. Final approval by faculty advisers and the Principal.
